Planning a VIP Arrival: What to Arrange in Advance

The vehicle question comes before the headcount

The VIP van holds up to six people in individual seats and is the usual choice for an arrival of two or four — not because the headcount demands it, but because space between the seats and a boot that still closes after loading are what make the difference. Two people arriving with four cases and a suit carrier sit considerably better in a vehicle for six than in one for two.

Stops along the way

An additional stop costs €15, up to three are possible, and both are things to book in advance rather than negotiate en route. The usual cases: a florist before the hotel, a meeting taken straight from the airport, a second property where part of the party is staying.

If a stop is time-critical — a two o'clock appointment, a shop that closes at six — give the time and not just the address. The journey then gets planned around it instead of rescued afterwards. How much time actually passes between landing and departure is in how long it takes from landing to getting in your vehicle; for a fixed commitment on arrival day that is the more important figure.

Who greets whom

With one vehicle it is straightforward. With two — when part of the party arrives later, or goes to a different property — it is worth settling in advance which name goes on which board and who belongs with whom. It sounds like a detail, and in a crowded arrivals hall it is the difference between an orderly reception and twenty minutes of sorting people out.

Honeymoons and celebrations

The commonest request is for something to be waiting in the car. That can be arranged, but it needs notice and a clear statement of what exactly — put it in the notes field and expect us to come back with questions about the details. Anything perishable is a question of timing; with a landing at four in the morning the options differ from an afternoon arrival.

Business travel

Here predictability is what counts. Two things help: the flight number, so the pickup hangs on the actual landing without anyone having to ask, and a mobile number reachable abroad. With several travellers on different flights the same applies as for groups — one booking per arrival; see one group, several flights.

What you do not need for any of this
