Corporate and Business Group Transfers
With corporate groups the journey is rarely the problem — the list is. It arrives late, changes until the day before, and the people on it do not book for themselves. What that means for transfer planning comes down to a few points.
- Changes
- up to travel day
- Payment
- by arrangement
- Largest class
- 45 passengers
The list will change — that is expected
Headcounts on corporate trips move until shortly before departure, and that is not an exception. Send changes as you get them; as long as the group stays within the booked class it is simply a note. Only when it crosses a capacity limit — 14 for the minibus, 24 for the midibus — does the vehicle change, and with it the price.
The same applies in reverse: if the group shrinks, a smaller class may apply. Ask about it rather than paying the original price for a half-empty vehicle.
Whose name goes on the board
For a group it makes sense that the board shows not the booker's name but that of the person arriving and looking for it — or the company name, if the group knows it. Either goes straight into the name field. Someone booking who is not travelling is the norm in business travel; the procedure is in booking a transfer for someone else.
Several arrivals, one commitment
If the group comes from different cities the same rule applies as for any scattered arrival: one booking per flight, with that flight's number. What differs from a holiday group is the commitment at the other end. If a meeting is waiting on arrival day, tell us the time — then the journey is planned around it rather than rescued afterwards.
Agree the payment before booking
The standard is payment to the driver on the day, or by card in advance if arranged beforehand. For corporate travel the first is often impractical, because the traveller should not be out of pocket. Settle it with us before booking rather than at the vehicle — write to us saying how payment should work and we will tell you what is possible. What the fixed price covers is in how and when you pay.
Stops and multiple destinations
If participants are split across two hotels, or an office is to be called at on the way, each additional stop costs €15 and up to three are possible. Give the addresses in the order you want them, or leave the sequencing to us.
Book the return leg at the same time
This pays off more than with holiday groups, because departures almost always diverge and schedules stay tight to the end. Each departure time gets its own backwards calculation; how it is arrived at is in when should you leave your hotel for the airport. Allow more buffer when a commitment waits at the other end.
Common questions
Our final headcount comes late.
Book with your best estimate and send the final number when you have it. Within the booked class nothing changes; only crossing a capacity limit changes the vehicle and the price.
Can somebody book who is not travelling?
Yes, that is the norm for business travel. Enter the person who actually arrives as the contact, with their number — that is the one the driver calls.
Can we pay by invoice or by card in advance?
The standard is payment to the driver on the day; card in advance is possible by arrangement. Write to us before booking to say how it should be handled.
How large can the group be?
Up to 45 in a coach, and beyond that in several vehicles. Send the total and we will plan the split.
